FM client picks Templa CMS to meet its client reporting demands

Britannia Cleaning and Britplan Security belong to a family of companies providing FM services for over 30 years.

Based in Brentwood, their contracts are predominantly office buildings, with a high proportion managed by property agents such as Savills.


Clients thirsty for contract data

Britannia is under increasing pressure from clients to report contract performance promptly, electronically and on a regular basis. Along with their recent accreditation to ISO 9001 and 14001, this led the company to find a way of improving their quality auditing and reporting systems. These currently rely on field managers sticking to a schedule of paper based tasks that include quality audits, updates to contract information in site folders and progress reports on contract mobilisations. The information is then sent to head office and collated onto spreadsheets for emailing to clients (who, not surprisingly, all have slightly different requirements).

 

Lisa Coombs, HR and administration manager, said: ”The problem we have is the delay in the information arriving in the first place and the fact that it all has to be processed here by one person. A big issue, for example, is that quality audits can be well out of date by the time the client receives the monthly KPI report. 


Mobile CMS solves the problem

The TemplaCMS Mobile App means that field managers can use their i-Pads to perform lots of operational and administrative tasks that were previously paper-based or required them to visit the office. Using the Mobile App, any updates to site records, including recent inspections carried out using the Quality Audit module, are automatically updated to the main TemplaCMS database, either at the office or in the cloud. From there, selected information and reports are made available to clients via the TemplaCMS Customer Portal.
