Leaner and cleaner
August 1st 2007

HECTAS needed to assess its cleaning processes thoroughly. As well as improving quality and operational efficiency, the system had to reduce costs. Working with JohnsonDiversey, the company helped develop the Jonmaster Auditing System

With over 13,000 employees in eight different countries, HECTAS covers general and industrial cleaning and facility services for diverse organisations in the healthcare, education, aviation and industrial sectors.Prior to implementing the Jonmaster Auditing System,HECTAS relied on assessing only the end quality of its processes, resulting in an incomplete audit of its cleaning methods. This proved to be time-consuming and labour intensive.

The company realised it needed a management information system that was structured, consistent and easy to use.The system was required to support HECTAS's area and data management requirements and improve the quality and operational efficiency of its cleaning processes. Finally, the auditing system needed to help reduce costs by saving time during cleaning.

The Jonmaster Auditing System was jointly pioneered by JohnsonDiversey and HECTAS in 2004. It is the result of the successful combination of JohnsonDiversey's electronic auditing tool iMAP and the Jonmaster microfibre cleaning system.

The combination of a trolley-based microfibre cleaning system with an electronic management tool creates enhanced cleaning effectiveness through collected data covering the logistics of cloths and mops, laundry and different cleaning methods.

The Jonmaster Auditing System makes process control possible in all branches of cleaning, including industrial cleaning, cleaning in the food industry and traditional janitorial cleaning. This gives cleaning and facility managers better visibility of cleaning performance across all areas of their organisation.

The Jonmaster Auditing System assists HECTAS in all areas applicable including laundry, logistics, materials and resources, to allow for information to be quickly keyed in and immediately available on the Internet. This is done with a handheld device. It also helps streamline HECTAS's cleaning processes by identifying key management information and areas that need improvement.

The auditing system generates the necessary management information in order to guarantee the full potential of a microfibre system in terms of effectiveness, efficiency, ergonomics and staff motivation.

As a result of applying the Jonmaster system,HECTAS was able to increase efficiency in its cleaning audits. The system allowed for significant operational efficiencies that in turn enhanced the quality of HECTAS's cleaning and sanitisation processes.

The iMAP feature of the Jonmaster Auditing System also allowed for better data management for either broad (region and project comparison) or detailed analysis (category comparison); with quick and easy access. This feature helped with the creation of a central archive with back-up facilities as it utilises innovative web based auditing technology for collecting, analysing and reporting data and results from surveys.

HECTAS staff only needed three hours of training on how to operate the Jonmaster Auditing System and because of the trolley's ergonomic structure it allowed for less time to do better quality work.

Information could be accessed at any given time from any place in a language of choice thereby increasing staff motivation due to the ease of use and time saved in getting the job done.

The colour-coded microfibre and the compartmentalised structure of the trolley helped cut the risk of cross-contamination and allowed HECTAS to maintain the same high standards of cleanliness and hygiene in all of its operations across Europe. Because of the quality of its cleaning standards, the Jonmaster Auditing System won the ISSA/INTERCLEAN Innovation Award in 2006.The Jonmaster system ensured that the microfibre processes were compliant with industry and government required quality standards. The system also ensures that HECTAS cleaning processes are used to their fullest potential.

The adaptability of the Jonmaster system in customising certain specifications and requirements helped maintain the required industry level in cleanliness and hygiene standards.Customer satisfaction levels also increased because the system has an ideal solution for quality auditing with the flexibility to adapt to the needs of each of HECTAS's clients.

"The Jonmaster system is extremely useful in ensuring the efficient microfibre process required for a project. This has helped us with not only quality improvement but also increased levels in customer satisfaction thanks to the accuracy of our audit results and the speed at which they were turned out," says Kees Geldof,Manager Operational Support, HECTAS."The Jonmaster Auditing System is easy to work with and very user friendly".

The combined benefits of using the fast and easy-to-use Jonmaster system helped to save labour time which in turn contributed towards lower costs. The long life of the microfibre, guaranteed to be clean as new after over 500 washes, also helped to reduce costs.

Unlike traditional paper audits, this new cleaning management tool can promptly highlight any strengths or weaknesses, enabling managers to act immediately when problems arise, providing significant operational efficiencies as it helps to increase cleaning productivity and reduce operating costs to improve overall business profitability.
